What Belongs on the Agenda (and What Doesn’t)
A Franchise Advisory Council’s agenda quietly determines everything about how effective the council is. Load it with the wrong things, and even well-intentioned meetings turn into a waste of everyone’s time. Get it right, and the agenda itself becomes a signal to franchisees that the council has real scope.
What Belongs
- Marketing fund spend and upcoming decisions (see Part 9) — as a standing item, not an occasional one.
- Technology and systems rollouts still in the evaluation stage (see Part 10) — brought early enough to actually shape the decision.
- Operational pain points surfaced from the field — issues reps are hearing repeatedly from their regions, not one-off complaints.
- Vendor changes with system-wide cost or workflow impact — new suppliers, changed terms, anything franchisees will feel operationally.
- Policy or brand standard changes before they’re finalized — menu, pricing structure, territory rules, anything that affects day-to-day operations.
- Follow-up on prior recommendations — a standing check-in on what happened to issues raised in past meetings, so nothing quietly disappears.
What Doesn’t Belong
- Individual franchisee disputes. Council meetings aren’t the venue for one location’s specific grievance with corporate — that needs its own channel, or it derails the broader agenda and puts reps in an awkward position representing a peer’s personal issue.
- Decisions already finalized with no room to change. If it’s not actually open for input, don’t frame it as a discussion item — present it as an update instead and be direct about that distinction.
- Topics outside the council’s real scope, like HR matters for corporate staff or details of franchisor-level financials unrelated to franchisee operations.
- Anything requiring legal or confidential handling. Litigation strategy, individual franchisee legal disputes, or sensitive personnel matters don’t belong in a room with elected franchisee reps, however tempting it is to “keep them in the loop.”
The Simple Test
Before adding anything to the agenda, ask: does this genuinely benefit from franchisee input, or does it just need to be communicated? Input items belong on the council agenda. Communication-only items belong in the recap that follows it (see Part 13) — not in the meeting itself.
